Uber Media Labs (“we”, “us”, “our”) offers both project-based engagements (fixed scope, fixed price) and ongoing retainer or subscription arrangements (recurring monthly billing). The process and consequences of cancellation differ slightly between these two models, and this page explains each. Where your signed proposal or service agreement sets out specific cancellation terms, that document governs for your engagement.
1. How to cancel
To cancel any engagement — project, retainer, or subscription — send a written cancellation notice to support@ubermedialabs.com with the subject line “Cancellation Notice — [your company name]”. Your notice must include your company name, a description of the engagement or subscription you are cancelling, and the date from which you wish the cancellation to take effect. We will acknowledge your notice within 1 business day and confirm the effective cancellation date in writing.
Clients with access to the client portal can also initiate a cancellation request from the portal dashboard; this generates the same written notice automatically.
2. Cancelling a one-off project engagement
- Before kickoff— if you cancel before we have commenced any discovery, scoping, research, design, or development work, you are eligible for a refund per our Return & Refund Policy. In plain terms: if we have not yet started, you get your deposit back (less gateway processing fees).
- After kickoff, work in progress— we will stop work immediately on receipt of your cancellation notice, compile a final invoice for all work completed to date (pro-rated against the agreed project fee), and deliver everything we have produced. Any amount already paid that exceeds the pro-rata value of completed work will be refunded; any shortfall will appear on the final invoice.
- After delivery— once a final deliverable has been handed over, the project is considered complete. There is nothing to cancel at that stage; please see the Return & Refund Policy if you have a concern about the delivered work.
3. Cancelling a retainer or subscription
- Notice period— retainer and subscription cancellations require 14 calendar days’ written notice before the next billing date. For example, if your billing date is the 1st of each month, your cancellation notice must reach us no later than the 17th of the preceding month to avoid the next charge.
- Pro-rata for the current period— if you cancel part-way through a billing cycle, the current period’s fee is charged in full. We do not credit unused days within a billing cycle because team capacity is allocated at the start of each period. If exceptional circumstances apply, write to us and we’ll consider a goodwill credit on a case-by-case basis.
- Deliverable handover— within 5 business days of the cancellation effective date, we will package and deliver all paid-for work products: code repositories, design files, automation configurations, credentials, documentation, and any other materials we hold on your behalf.
- Access revocation— following handover, we will remove our access to any client systems (Google Workspace, hosting, ad accounts, etc.) that were granted during the engagement, unless you ask us to retain access for a specific reason.
4. Auto-renewal of subscriptions
Monthly and annual subscription plans renew automatically on the billing anniversary date to ensure continuity of service. You will receive an email reminder 7 days before each renewal. To stop an auto-renewal, send your cancellation notice at least 14 days before the renewal date (see Section 3 above). If a renewal charge has already been processed and you notify us within 3 business days of the charge, we will evaluate a refund of the renewed amount on a goodwill basis, provided no work has commenced in the new period.
5. Cancelling a booked consultation or audit call
Consultation calls and Free Audit sessions booked via /book are free of charge. You may cancel or reschedule at any time with no penalty — simply use the link in your booking confirmation email or email us at support@ubermedialabs.com. We appreciate as much notice as possible so we can offer the slot to another client.
6. Our right to cancel
We reserve the right to cancel an engagement or terminate a subscription in the following circumstances:
- Non-payment— if an invoice remains unpaid for more than 14 days after the due date, we will issue a written cure notice. If payment is not received within 7 further days, we may suspend work and ultimately terminate the engagement, with a final invoice issued for all work completed to date.
- Material breach— if you materially breach the terms of the signed service agreement and the breach is not remedied within 14 days of written notice.
- Abusive or unlawful conduct— we will immediately terminate any engagement where the client directs us to engage in unlawful activity, or where team members are subjected to abusive, threatening, or discriminatory conduct.
- Force majeure— in the unlikely event that circumstances genuinely beyond our control prevent us from continuing (e.g., prolonged infrastructure outage, regulatory prohibition), we will give you as much notice as practical, deliver all completed work, and refund any amounts paid for work not yet started or completed.
7. Interaction with the Refund Policy
Cancellation and refund are related but distinct concepts. Cancellation ends the engagement going forward; refund determines whether any money already paid comes back. This Cancellation Policy does not independently create refund entitlements beyond what is described there.
8. Changes to this policy
We may update this policy from time to time. The effective date above reflects the current version. Material changes will be posted here and, where we hold your email address, notified to you directly. Your continued use of our services after the effective date constitutes acceptance of the updated policy.
