The challenge
A 3PL warehouse network with 11 facilities across Bhiwandi, Bangalore and Hyderabad was bottlenecked at client onboarding — KYC for a new B2B account took 6 working days as the operations team chased GSTIN, MSME registration, board resolutions and rate cards over email. Inbound ASNs from clients arrived in 12 different Excel formats and were hand-keyed into Zoho Inventory. Clients had no real-time stock visibility and called the warehouse every morning for counts.
How we deployed
- Built a client-onboarding wizard that pulled GSTIN against the GSTN portal, validated MSME UDYAM, and generated a counter-signed master service agreement in under 15 minutes.
- Trained an ASN parser that ingested any client-supplied Excel, CSV or EDI feed and mapped to a single canonical SKU schema.
- Pushed inbound ASN line-items straight into Zoho Inventory with putaway recommendations against current bin occupancy.
- Sent stock-level alerts to client WhatsApp at configurable thresholds — low stock, dead stock 90 days, expiry T-30.
- Issued each client a portal login showing live stock, GRN history and warehouse heatmap.
What changed
- 84 new B2B clients onboarded across 90 days versus 11 in the previous quarter.
- KYC turnaround compressed from 6 days to 15 minutes end-to-end.
- 97% of inbound ASNs auto-parsed without human touch across all 11 warehouses.
- Client morning-call volume to the warehouse dropped 84% with portal visibility.
- Average warehouse utilisation lifted from 67% to 81% as putaway intelligence cut wasted aisles.
