The challenge
A language school running German A1-C1, IELTS prep and Spanish across Delhi, Mumbai and Pune was juggling B2C learner enquiries with B2B corporate L&D pitches on the same inbox. Placement tests required a counsellor call, which slotted 3-5 days out. IELTS aspirants had a relentless stream of band-score and visa-related questions. Corporate enquiries got buried under B2C volume.
How we deployed
- Built a conversational placement-test bot — 18-question CEFR-aligned quiz on WhatsApp, instant level + course recommendation.
- Deployed an IELTS Q&A bot trained on band descriptors, exam structure, visa pathways and study-abroad routes.
- Routed corporate L&D enquiries to a dedicated B2B inbox with HubSpot lifecycle stage flagged enterprise.
- Sent weekly study-streak nudges and class reminders via WhatsApp, with one-click Zoom join links.
- Auto-generated corporate proposals with cohort pricing, instructor bios and CEFR roadmaps for L&D buyers.
- Tracked corporate pilot-to-rollout conversion through HubSpot deal stages with auto-renewal reminders.
What changed
- 6,800 learners onboarded across the year with placement done in 12 minutes start to finish.
- 41 corporate B2B contracts closed — Rs 2.8 crore in pipeline previously buried under B2C volume.
- IELTS Q&A bot handled 22,000 questions with 94% containment, no human escalation.
- Class no-shows dropped 44% with WhatsApp Zoom reminder integration.
- Counsellor team reallocated from placement scheduling to IELTS speaking-prep coaching.
"IELTS aspirants have the same 30 questions and they ask them at midnight. The bot answers, the counsellor sleeps, the band scores improve."
