The challenge
A 38-centre diagnostic lab chain across Maharashtra and Gujarat was emailing reports with a 22-hour median delivery delay after the LIS marked them ready. Home-collection slot no-shows ran at 19% because patients booked over IVR and forgot. Repeat-test reminders for diabetes panels, thyroid, lipid and Vitamin D were nominally on a 6-month timer but actually firing 3 to 5 months late, costing predictable repeat-test revenue.
How we deployed
- Wired the LIS to a WhatsApp Business API delivery channel — reports auto-push the moment they are signed off.
- Replaced the IVR collection booking with a conversational AI on WhatsApp and the website.
- Triggered confirmation, evening-prior and 1-hour-prior reminders to collection patients.
- Built a repeat-test scheduler keyed off the actual previous test date, not the booking date.
- Surfaced abnormal-result patients into a flag queue for an empathetic human follow-up call.
- Captured doctor referral codes in the booking flow so referral analytics finally worked.
What changed
- Result delivery latency fell 71% — most patients now get their report within 4 hours of sign-off.
- Home-collection no-show rate dropped from 19% to 10.6% in 45 days.
- Repeat-test bookings recovered Rs 1.4 Cr in net-new revenue across two quarters.
- Average WhatsApp report open rate hit 91% versus a 38% email baseline.
- Referring-doctor analytics dashboard finally surfaced top performers and dormant referrers.
"Patients were waiting up to a day for a report we already had. WhatsApp closed that gap. The repeat-test recovery was a bonus we did not even underwrite."
